position purpose
The fws Donations and Accounts Officer is responsible for identifying and reconciling each transaction for the two fws bank accounts, passing this info on to the fws Bookkeeper for entry into MYOB. They are also responsible for maintaining the Donor Database and sending the monthly fws Donor List to Rotary for receipting.
responsibilities
- Download weekly or monthly bank statements in excel format (both admin and fundraising accounts).
- Identify nature, source and details of every item on bank statements.
- Identify and code (using MYOB accounts) each transaction on bank statement, logging who it’s from, what it’s for (eg, various expense accounts, grant income, general donations, specific donations, transfers to Tanzania, etc), and contact details of all donors.
- Prepare and maintain monthly Donor List from the bank statement and from fws our community files (and track down missing details if required).
- Send Donor List to Rotary and fws Gratitude Officer for receipts and thankyous (within 3 working days of end of month) and ensure Final Founding Fifty members are acknowledged and added to the Final Founding Fifty webpage.
- Maintain Donor Database.
- Answer any queries re: donations, sponsorships and receipts in a timely and clear manner.
- Support and assist financial aspects of fundraising activities, procedures, controls (if required).
key performance indicators
- Prepare timely and accurate monthly accounts for Australia to P&L and Balance Sheet.
- Maintain accurate monthly bank reconciliations.
- Maintain accurate and up-to-date Donor Database.
- Provide timely monthly Donor List to Rotary for receipting.
- Provide timely and clear response to enquiries about donations, sponsorships and receipts.

skills & requirements
- Accuracy and attention to detail.
- Experience with bank reconciliations.
- Good ability to use Microsoft Excel and MYOB preferable.
- Bookkeeping or accounts experience.
- An organised, self motivated person who can consistently commit to meeting the needs of this role.
- Support the broader fws vision by offering input where relevant.
- Understand and adhere to the values of fws, as outlined on fws website.
- Desire to make a difference while contributing to a fun but dedicated group of volunteers.
