position purpose
The
fws OS-based Volunteer Officer supports the OS-based Volunteer team to create and build a strong and effective team of fantastic
fws OS-based volunteers.
The purpose of this role is to assist the
fws OS-based volunteer team to respond to enquiries from potential volunteers, keep the
fws volunteer database up to date, and identify suitable potential volunteers for the Kesho Leo team.
The
fws OS-based Volunteer Officer also helps to develop and constantly improve ways of working with
fws's OS-based volunteers, ensuring their
fws experience is as positive and rewarding as we know it should be!
responsibilities
- Receive and accurately file applications from prospective OS-based volunteers.
- Respond to all OS-based volunteer enquiries in a friendly and timely manner while following fws policy and procedure.
- Ensure regular communication with all OS-based volunteers and deal with any enquiries or issues as appropriate.
- Promote the link to fws’s e-newsletter
gimme shelter to all OS-based volunteers, increasing its circulation.
- Keep the OS-based Volunteer Register current by adding applicants & their details regularly, and filing on the fws network (currently Google Docs).
- Ensure data is accurate and up to date for regular reporting purposes.
- Ensure the OS-based Volunteer team keeps files of CVs and Position Descriptions on the fws network (currently Google Docs).
- Identify strong applicants to the OS-based Volunteer Coordinator.
- Within three days after application closing date, supply fws member who identified volunteer vacancy with the CVs and Volunteer Application Forms of the most suitable applicants.
- Respond to unsuccessful applicants, and encourage them to apply for similar/suitable positions if appropriate.
- Support OS-based Volunteer team in setting up and conducting interviews of applicants for vacant roles.
- Support the OS-based Volunteer Coordinator in the deployment of volunteers to their overseas placement.
- Support the OS-based Volunteer Coordinator to advertise approved roles in relevant areas, including the fws website, fws e-newsletter
gimme shelter, volunteer websites, newspapers etc.
key performance indicators
- Support the OS-based Volunteer team to ensure fws OS-based volunteer enquiries are responded to in a timely manner.
- Support the wider HR team to develop and implement initiatives which will enhance the performance of the HR team and ultimately of fws.
- Maintain the database to track and analyse fws retention and turnover.
- Help implement and maintain a robust HR filing system.
