The
fws OS-based Volunteer Manager has the important and rather fun role of taking good care of our overseas-based volunteers (both current and potential!)
This rewarding role involves human resource planning, recruitment, selection, training, and recognition of our overseas-based volunteers’ awesome achievements.
The
fws OS-based Volunteer Manager heads up a small but dedicated team, who work together to manage and expand the inspiring team of volunteers contributing to
fws projects overseas (OS).
responsibilities
- Gratefully receive applications from potential fws OS volunteers, and reply to all of those applicants in a friendly and timely manner.
- Ensure the fws OS-based Volunteer Team follows the appropriate recruitment processes, from advertising to appointment.
- Lead and motivate a dedicated team set up to deal with volunteers working for fws overseas, with a focus on Tanzania.
- Work with the Kesho Leo manager, fws management committee and fws board to identify positions that need to be filled.
- Coordinate start and end dates of all OS positions with the Kesho Leo manager, through appropriate HR planning mechanisms.
- Coordinate the position description process, together with the Kesho Leo manager and the HR Manager, from creation to sign-off.
- Induct successful applicants into fws, ensuring they receive relevant communication such as the OS-based volunteer handbook, fws organisation chart, fws-Australia contact list etc.
- Ensure relevant IT accounts are set up, by coordinating with the fws IT Manager and Kesho Leo Manager.
- Ensure agreed fws policy is followed regarding OS-based volunteer communication, performance management and feedback.
- In conjunction with the fws board and management committee, lead the process of removing fws OS-based volunteers who are not meeting the requirements, as determined by fws Kesho Leo management.
- With the wider HR team, design initiatives and identify relevant events to engage and motivate fws OS-Based volunteers, such as the annual Australian National Volunteers’ week.
- With the support of the OS-based Volunteer Coordinator, ensure continual improvement of systems and processes and the development of effective strategies for a mutually-rewarding international volunteer program.
key performance indicators
- Ensure outstanding fws OS positions are filled in a timely manner.
- Together with the fws HR manager and fws Aust-based Volunteer Manager, develop a volunteer HR management tool, and report regularly to the fws board and management committee on volunteer concerns, developments, feedback etc.
- Track and analyse fws retention and turnover of OS volunteers, identifying methods to minimise high turnover.
- Produce a quarterly report to demonstrate levels of volunteers engagement.
- Develop, implement and monitor a simple performance management strategy to maximise international volunteer output.
- Implement a robust HR filing system.
- Create Position Descriptions for all fws OS-based volunteer roles.
